Do I need consent to transcribe a meeting with AI?
It depends on where you are and on your organization. Some places require every participant's consent to record or transcribe, and many companies and clients have their own policies. If you're unsure, the safest move is to say at the start of the meeting that you're transcribing with AI.
What to check
- Local law: some places, like several US states, require every party's consent; others need only one. With attendees in several places, follow the strictest.
- Privacy rules: some regions, like the EU, treat voices and conversations as personal data and require telling people why they're processed.
- Company and client policies: these often cover AI tools, outside storage and recording separately.
How to tell people
- Add a line to the invite: "This meeting is transcribed with AI for reference only."
- Say it at the start, and turn it off if anyone objects.
- Ask separately before recording audio.
